# Calendly

> Available on Growth, Advanced and Enterprise plans, and all Legacy plans.

The Calendly integration enables you to connect your Calendly account with your respond.io Workspace. With this integration, you can:

* Share booking links with Contacts
* View past and upcoming meetings directly in respond.io

## Before you begin

You'll need:

* An **Owner or Manager** role in respond.io
* A Calendly account

> Connect a Calendly account that has access to all the meetings and event types you want your team to see in respond.io. Meetings and event types shown are based on what the connected account can access.

**Limitations:**

* You can only connect 1 Calendly account per Workspace.
* Meeting history is limited to 6 months back and 6 months forward from the current date.
* You cannot create or edit meetings directly within respond.io.
* You cannot connect Calendly on a per-agent basis.

## Setting up the integration

1. Go to **Workspace settings** \> **Integrations** \> **Browse**.

2. Select the **Scheduling** tab, or use the search bar to find Calendly.

3. Click **Connect**.

4. Click the **Connect Calendly** button.

5. A popup opens for you to sign in with your Calendly account. Follow the steps to connect your Calendly account.
6. Once connected, you'll see a confirmation message and your Calendly account details.

## Before you share booking links

To start sharing booking links, you'll need Calendly event types.

### Event types

Event types are Calendly meeting templates you can reuse for your Contacts. You can schedule different kinds of meetings with specific settings and details.

For example, a "Sales Demo" lasting 30 minutes or a "Customer Onboarding" lasting 1 hour.

You'll need to create event types in Calendly to be able to share booking links with your Contacts in respond.io. Learn more about [Calendly's event types](https://calendly.com/help/event-types-overview).

When sharing booking links, your event types are grouped by:

* **Personal:** Event types from your connected Calendly account.
* **Team:** Event types from any teams your connected Calendly account belongs to. If the connected account belongs to multiple teams, each team's event types are listed separately.

## Sharing booking links

Here's how to share a booking link with your Contact:

1. Click the Calendly icon in the vertical sidebar.
2. Click the **Share booking link** button.

3. Type in the search bar to filter event types by name or select an event type from the dropdown.

4. The booking link copies to your clipboard automatically.
5. Share the booking link with your Contact.

## Viewing meetings

You can view a Contact's upcoming and past meetings in respond.io.

Meetings are matched to a Contact using their **email address** or **phone number**. Make sure the Contact's details include at least one of these for meetings to appear.

> **Note:** Phone number matching only works if the Contact answered a phone number question in the Calendly booking form. If you're not seeing matches for Contacts with phone numbers, check that the relevant Calendly event type includes a phone number question.

Click the Calendly icon in the vertical sidebar from the Inbox or Contacts module to open all meetings with the Contact.

> **Note**: If the connected Calendly account is on the Free plan, meetings may take up to 5 minutes to appear as it doesn't include webhooks. Paid plans sync in real time.

### Meeting details

You'll see the following details for each meeting:

* Meeting name
* Date and time of meeting
* Meeting host's name, or "Multiple hosts" when more than 1 host is assigned
* Meeting status

### Meeting status

All upcoming and past meetings will have statuses:

* **Confirmed**: The meeting has been accepted.
* **Canceled**: The meeting has been cancelled.

## FAQ and troubleshooting

### Why aren't meetings showing up for a Contact?

Meetings are matched by email address or phone number. Check that the Contact's email or phone number in respond.io exactly matches what's in Calendly — even minor differences like spaces or special characters can prevent matches from appearing.

For phone number matching specifically, the Contact must have answered a phone number question in the Calendly booking form. Check that the relevant event type includes this question — and consider making it mandatory to ensure consistent matching.

### Why am I seeing a Calendly connection error?

Your Calendly token may have expired. Go to **Settings** \> **Integrations** \> **Calendly** and click **Refresh** to reconnect your account.

### What happens if I disconnect Calendly?

Disconnecting removes access to meetings and booking links in respond.io. You'll need to reconnect to restore them. To disconnect, go to **Settings** \> **Integrations** \> **Calendly** and select **Disconnect**.

### Which plans include the Calendly integration?

The Calendly integration is available on Growth, Advanced and Enterprise plans, and all Legacy plans.
