The Cal.com integration enables you to connect your Cal.com account with your respond.io Workspace. With this integration, you can:

  • Share booking links with Contacts

  • View past and upcoming meetings directly in respond.io

What you'll need

  • An Owner or Manager role in respond.io.

  • A Cal.com account.

Connect a Cal.com account that has access to all the meetings and event types you want your team to see in respond.io. Meetings and event types shown are based on what the connected account can access.

Setting up the integration

  1. In your Workspace, go to Workspace settings > Integrations.

  2. Navigate to Cal.com and click Manage.

  3. Select the Connect Cal.com button.

  4. A popup opens for you to sign in with your Cal.com account. Follow the steps to connect your Cal.com account.

  5. Once connected, you'll see a confirmation message and your Cal.com account details.

Important: Once connected, respond.io creates a webhook in your Cal.com account. Do not remove this webhook. If it is accidentally removed, go to Settings > Integrations > Cal.com and click Refresh to restore the connection.

Before you share booking links

To start sharing booking links, you'll need Cal.com event types.

Event types

Event types are Cal.com’s pre-set meeting options that you can share with your Contacts — each with its own name, duration, and settings.

For example, a “Sales Demo” lasting 30 minutes or a “Customer Onboarding” lasting 1 hour.

You’ll need to create event types in Cal.com to be able to share booking links with your Contacts in respond.io. Learn more about Cal.com’s event types.

When sharing booking links, your event types are grouped by:

  • Personal: Event types from your connected Cal.com account.

  • Team: Event types from any teams your connected Cal.com account belongs to. If the connected account belongs to multiple teams, each team’s event types are listed separately.

Note: New event types added in Cal.com won’t automatically appear in respond.io. Go to Settings > Integrations > Cal.com and click Refresh to sync them.

Sharing booking links

Here’s how to share a booking link with your Contact:

  1. Click the Cal.com icon in the vertical sidebar.

  2. Click the Share booking link button.

  3. Select an event type from the dropdown.

  4. The booking link copies to your clipboard automatically.

  5. Share the booking link with your Contact.

Viewing meetings

You can view a Contact’s upcoming and past meetings in respond.io from the Inbox and Contacts modules.

Meetings are matched to a Contact using their email address or phone number. Make sure the Contact’s details include at least one of these for meetings to appear.

Click the Cal.com icon in the vertical sidebar to open all meetings with the Contact.

Meeting details

You’ll see the following details for each meeting:

  • Date of meeting

  • Time of meeting

  • Meeting host’s name, or “Multiple hosts” when more than 1 host is assigned

  • Meeting status

Meeting status

All upcoming and past meetings will have a status:

  • Confirmed: The meeting has been accepted.

  • Unconfirmed: The meeting has not been accepted.

  • Canceled: The meeting has been canceled.

Limitations

  • You can only connect 1 Cal.com account per Workspace.

  • Meeting history is limited to 6 months back and 6 months forward from the current date.

  • You cannot create or edit meetings directly within respond.io.

  • You cannot connect Cal.com on a per-agent basis.

  • Cal.com Organization-level booking visibility and Organization event types aren’t supported.

FAQ and troubleshooting

Why aren’t meetings showing up for a Contact?

Meetings are matched by email address or phone number. Check that the Contact’s email or phone number in respond.io exactly matches what’s in Cal.com — even minor differences like spaces or special characters can prevent matches from appearing.

How do I sync new event types from Cal.com?

New event types added in Cal.com won’t appear automatically. Go to Settings > Integrations > Cal.com and click Refresh to sync them.

What happens if I disconnect Cal.com?

Disconnecting removes access to meetings and booking links in respond.io. You’ll need to reconnect to restore them. To disconnect, go to Settings > Integrations > Cal.com and select Disconnect.

Which plans include the Cal.com integration?

The Cal.com integration is available on Growth, Advanced and Enterprise plans.
