The Google Calendar integration enables you to connect your Google Calendar with your respond.io Workspace. With this integration, you can:

  • View past and upcoming meetings directly in respond.io

Before you begin

  • You'll need an Owner or Manager role in respond.io.

  • A Google Calendar.

Connect the Google Calendar that has access to everything the team should see. Only meetings and calendars visible to that account show in respond.io.

Limitations:

  • You can only connect 1 Google Calendar per Workspace.

  • Meeting history is limited to 6 months back and 6 months forward from the current date.

  • You cannot create or edit meetings directly within respond.io.

  • You cannot connect Google Calendar on a per-agent basis.

  • You can't choose which calendars sync — all calendars linked to the connected Google Calendar sync automatically.

  • Events from secondary calendars (calendars you subscribed to) sync in real time. This isn't 100% reliable due to Google Calendar API limitations, so some events may not appear immediately. A full resync runs daily to catch anything missed, delaying some events by up to a day.

Setting up the integration

  1. Go to Workspace settings > Integrations > Browse.

  2. Select the Scheduling tab, or use the search bar to find Google Calendar.

  3. Click Connect.

  4. Click the Connect Google Calendar button.

  5. Sign in with your Google Calendar in the popup that opens, then follow the steps to connect it.

  6. Once connected, you'll see a confirmation message and your Google Calendar details.

Managing your Google Calendar

To create, edit, or cancel a meeting:

  1. Click the Google Calendar icon in the vertical sidebar.

  2. Click Manage Google Calendar.

  3. You'll be redirected to Google Calendar, where you can make changes.

You can't create or edit meetings directly within respond.io — all changes happen in Google Calendar.

Viewing meetings

You can view a Contact's upcoming and past meetings in respond.io.

Once connected, meetings sync automatically from your primary calendar and any secondary calendars you own or subscribe to.

  • Primary calendar: The default calendar of the connected Google Calendar.

  • Secondary calendar: Any additional calendars owned by or subscribed to by the connected Google Calendar.

Meetings are matched to a Contact using their email address. Make sure the Contact's details include their email address for meetings to appear.

Click the Google Calendar icon in the vertical sidebar from the Inbox or Contacts module. This opens all meetings with the Contact.

You’ll see the following details for each meeting:

  • Meeting name

  • Date and time of meeting

  • Meeting host's name, or "Multiple hosts" when more than 1 host is assigned

  • Meeting status

All upcoming and past meetings will have statuses:

  • Confirmed: The meeting has been accepted.

  • Unconfirmed: The meeting has not been accepted.

  • Canceled: The meeting has been cancelled.

  • Declined: The meeting has been declined.

FAQ and troubleshooting

Why aren’t meetings showing up for a Contact?

Meetings are matched by email address. Check that the Contact’s email in respond.io exactly matches what’s in Google Calendar.

Why am I seeing a Google Calendar connection error?

Your Google Calendar token may have expired. Go to Settings > Integrations > Google Calendar and click Refresh to reconnect your account.

What happens if I disconnect Google Calendar?

Disconnecting removes access to meetings in respond.io. You'll need to reconnect to restore them. To disconnect, go to Settings > Integrations > Google Calendar and select Disconnect.
