Connect AI Agents to Your CRM with respond.io

TL;DR: Keep your CRM and stop losing chat leads

  • When leads go cold after one reply because their answers sit in chat and nobody follows up, keep your CRM and add respond.io.

  • Its AI Agents reply, qualify and follow up on every channel and save the answers to the lead's Contact record and Lifecycle stage, while a Workflow sends the chat summary to your CRM on the Advanced plan.

  • It suits mid-market B2C businesses with 500+ customer chats a month whose sales team works in HubSpot, Salesforce or another CRM.

This guide is for mid-market B2C businesses that run their sales pipeline in a CRM and talk to leads on chat apps. In that setup, a lead gets a reply only when a sales rep is free, and their answers reach the CRM only when someone copies them over. Many leads hear nothing after their first reply. The sections below help you decide how to fix that without giving up the CRM your sales team already uses.

Why B2C teams switch when their CRM and chat setup loses leads

Mid-market B2C businesses switch to respond.io because it closes the gap between their chats and their CRM without having to replace the CRM.

Teams usually reach this point because their current setup loses leads in four places:

  • Slow replies: A lead who messages on WhatsApp or Instagram waits until a rep is free. Leads who message after the team logs off wait until the next shift.

  • Answers stuck in chat: The lead's budget, timing and what they want to buy sit in the chat thread. The CRM record stays empty until someone copies them over.

  • Double entry: Reps copy and paste the same details from the chat into the CRM. Time spent on data entry is time not spent replying to new leads.

  • No second message: When a lead goes quiet after the first reply, nobody follows up. When a rep finally checks back, the conversation has gone cold.

Adding the CRM's own inbox fixes only part of this. A CRM inbox covers the channels the CRM connects, so leads who message on other channels still land somewhere else, and someone still has to reply to every lead and log what they said.

The cost shows up in the leads that were most ready to buy. A lead who asks about price or availability in chat is telling you they're interested. When that lead waits hours for a reply or never gets a second message, the inquiry ends there, and fewer of your highest-intent leads convert. For a closer look at where chat leads drop off, see this guide to WhatsApp lead management use cases.

Respond.io is a customer conversation platform that brings chats and calls from every connected channel into one inbox, with one Contact record per customer. Its AI Agents reply to leads, qualify them and follow up on their own, then save what they learn to that record. On the Advanced plan, a Workflow, which is respond.io's automation builder, sends the chat summary to the CRM your sales team keeps.

Respond.io works with your CRM, not instead of it: it handles live conversations and sends the outcomes to the CRM you already use. It includes a shared inbox, but it isn't only one, because AI Agents and Workflows act on the conversations it holds. It also covers more than WhatsApp: Instagram, Facebook Messenger, TikTok and calls land in the same inbox.

How respond.io AI Agents qualify and follow up while your CRM stays the record

AI Agents in respond.io handle first contact, after-hours replies, qualifying and follow-up on their own, write what they learn to the lead's Contact record and hand the lead to a salesperson for the sale. Your CRM keeps the pipeline and the deals, and respond.io handles the conversations that feed it.

What the AI Agent reads

An AI Agent uses the details saved on the lead's Contact record when it replies. HubSpot contact properties sync into respond.io Contact fields, so a returning customer's details are already there when they message again, and the AI Agent doesn't ask for them twice. If a customer messages on Instagram and later on WhatsApp, merging their profiles brings both conversation histories into one Contact record.

What the AI Agent updates

The AI Agent saves qualification answers, such as budget, timing or the product a lead wants, to Contact fields as the chat happens. For a family entertainment venue taking birthday party and field trip inquiries on WhatsApp, that's the date, the group size and the package the family wants. It also sets the lead's stage in Lifecycle, which tracks each lead, customer and returning customer by stage. Your sales team opens one record and sees what the lead said across channels, with no copy-paste.

How the AI Agent follows up

The AI Agent follows up on its own when a lead goes quiet, at the times set in its instructions. When a lead says they're not ready to buy, it moves them to a Warm Lead stage. After the final follow-up, it closes the chat with a summary of what was discussed.

Workflows keep the conversation warm when the AI Agent can't. Once WhatsApp's 24-hour reply window closes, a Workflow can send the lead an approved template message. When a rep hasn't replied to a newly assigned chat in time, a Workflow can reassign it to a teammate who is online.

What the AI Agent triggers

When a lead is ready for a salesperson, the AI Agent assigns the chat to the right sales team and adds a comment with the details it collected. When it closes a conversation, it writes a summary of the chat. That summary is available to Workflows, so on the Advanced plan a Workflow can send it to your CRM when the conversation closes.

Hmlet, a short-term rental business in Singapore, shows how this works with a CRM. As Hmlet grew, its sales team spent a lot of time handling low-quality inquiries by hand. Hmlet manages 5 channels in respond.io, and its AI Agent now qualifies inquiries, filters out spam and routes genuine prospects for residential inquiries to the sales team. Hmlet's developers connected respond.io to Pipedrive through Make, so conversation and lead data reach its CRM. Hmlet increased its conversion rate 2.5x, and 90% of irrelevant inquiries and spam are now filtered out.

How your team stays in control

Respond.io works AI first, then a human. AI Agents answer from Knowledge Sources, the documents and web pages you add to teach them about your business. When they can't find an answer there, they hand the chat to a person rather than guess. An AI Agent can't answer what isn't in your documentation, so keep your Knowledge Sources current. A rep who takes over a chat has it to themselves: the AI Agent stops replying until the chat is assigned back to it.

What respond.io updates in HubSpot, Salesforce and other CRMs

Respond.io's native HubSpot and Salesforce integrations sync contacts. Deals and chat summaries reach the CRM through a Workflow HTTP Request step, which sends the data to your CRM.

HubSpot

The HubSpot integration brings HubSpot contact properties into respond.io Contact fields when a contact is created or updated in HubSpot, on the Growth plan and above. You can map up to 100 properties, including Lifecycle Stage.

If a mapped field changes in both places, HubSpot's value wins. If you map the HubSpot owner to the respond.io assignee, changing the owner in HubSpot reassigns the Contact in respond.io, even when an AI Agent is handling it. From the respond.io sidebar, reps can also edit HubSpot properties once an admin allows it, and those edits save to HubSpot.

The integration does not send an AI Agent's Contact field or Lifecycle updates to HubSpot automatically, and it does not log messages or summaries to HubSpot. To get them there, use a Workflow, Zapier or Make.

Salesforce

The Salesforce integration shows Salesforce contact fields in respond.io and saves admin-enabled edits back to Salesforce immediately, on the Advanced plan and above. New Salesforce contacts can also be created in respond.io automatically. Email and phone number can't be edited from respond.io.

Deals, summaries and other CRMs

Both native integrations sync contacts only. To create or update a deal, an opportunity or a note with the chat summary, a Workflow sends the data through an HTTP Request step, available on the Advanced plan and above. It only works with CRMs that connect with an API key or token.

Zoho, Pipedrive and other CRMs connect through Zapier, Make or the respond.io Developer API.

An AI Agent can update only Contact fields that already exist, and if its instructions name a field wrongly, the update doesn't happen and no error appears. Create the fields first and use their exact names in the instructions.

Emrah Cinik, a specialist clinic and surgical center in Turkey that serves medical tourism patients, connected its AI Agent to Zoho CRM this way. Before respond.io, the clinic ran multiple separate WhatsApp Business accounts, and lead intake and tracking were largely manual, which delayed first replies.

Now its AI Agent collects key patient details in the first interaction, and a Workflow uses them to create the lead in Zoho. The clinic built the integration itself with Workflows, the HTTP Request step and webhooks. Key Lifecycle stages sync between the two platforms, and the AI Agent's summaries of chats and calls go into Zoho. The clinic now has an average first response time of roughly 26 seconds, handles 10,000+ monthly patient interactions and has unified 34 channels in a single inbox.

Who should use respond.io with their CRM, and who shouldn't

Respond.io suits mid-market B2C businesses that want to keep their CRM and stop losing leads to slow and missed replies. Switch now if you handle 500+ customer chats a month and any of these is happening:

  • Leads come in on two or more channels.

  • Reps copy chat answers into the CRM.

  • Leads hear nothing after their first reply.

Respond.io is not the fit yet if all your leads come through one channel your CRM's own inbox already covers, and your reps still reply to and log every lead on time. It's also not the fit if you need an AI agent to create deals in your CRM with no setup work. If that describes you, wait. The signal to switch is a lead arriving on a second channel, or any item in the list above starting to happen.

The trade-off is some setup before the AI Agent can update your CRM. Your team creates the Contact fields, maps the CRM fields, writes the AI Agent's instructions and, for deals and summaries, builds the Workflow. Respond.io's onboarding specialists guide setup for eligible businesses, and 24/7 human and AI support is available on every plan.

The Growth plan includes AI Agents and the HubSpot integration. The Advanced plan adds the Salesforce integration and the HTTP Request step that sends deals and summaries to your CRM.

If your leads go cold between the chat and the CRM, sign up for respond.io and connect your first channel. Your CRM stays where it is.

FAQs about AI agents for CRM lead qualification

Can an AI agent update deals in HubSpot or Salesforce?

Yes, through a Workflow rather than the native integration. Respond.io's HubSpot and Salesforce integrations sync contacts only, so an AI Agent updates the lead's Contact fields and Lifecycle stage inside respond.io.

To create or update a deal, an opportunity or a note, the AI Agent triggers a Workflow, and the Workflow sends the data to the CRM through an HTTP Request step on the Advanced plan. Zapier and Make are other routes.

Do AI updates in respond.io sync back to HubSpot?

Not automatically. When an AI Agent updates a Contact field or Lifecycle stage, the change stays in respond.io. If the field is mapped to HubSpot, a later change in HubSpot overwrites it in respond.io.

To send AI updates to HubSpot, use a Workflow that runs when the field or stage changes and sends it through an HTTP Request step (Advanced plan), Zapier or Make. Edits a rep makes to selected HubSpot properties from the respond.io sidebar do save to HubSpot.

Is lead data safe when the AI agent writes it to the CRM?

Respond.io protects lead data with GDPR compliance and ISO 27001 certification, and it runs on Amazon Web Services (AWS). Role-based access lets you control what each user can do, and Single Sign-On (SSO) is available on the Advanced plan and above.

The AI Agent writes lead details to Contact fields inside respond.io. Data reaches your CRM only through connections you set up: the native integration, a Workflow, Zapier or Make.
